Reporting and Revision of End-Quarter Grades

Policy Summary

Instructors are responsible for evaluating student performance in accordance with university policies. Course content, assignments, and evaluation of student work are the purview of the primary instructor(s).

End-quarter grades should be entered on time and may not be revised except as detailed below.

Reporting of Grades

End-quarter grades should be reported by university grade submission deadlines published in the academic calendar. There are different grade submission deadlines for graduating and non-graduating students.

Revision of End-Quarter Grades

Once submitted, end-quarter grades are final and not subject to change by reason of a revision of judgment on the instructor's part. End-quarter grades are also not subject to change on the basis of a second trial; for example, a new examination, additional work undertaken or completed after the end of the quarter, or reevaluation by another party.

Changes may be made at any time to correct an actual error in computation or transcription, or where some part of the student's work has been overlooked; that is, if the new grade is the one that would have been entered on the original report had there been no mistake in computing and had all the pertinent data been before the instructor, the change is a proper one.

If a student questions their end-quarter grade or grading on an assignment (for example, a test or essay) or a specific part of an assignment (for example, a question on a test), they should contact the instructor. The instructor may review the entire piece of work in question (for example, the entire test) for the purpose of determining whether the assignment or end-quarter grade was a proper one

If a student disputes an end-quarter grade, they should follow the Student Academic Grievance Procedure.

Freezing of Grades Upon Graduation

End-quarter grades are frozen at the time of degree conferral with the exception of 'I' (Incomplete), 'GNR' (Grade Not Reported), 'L' (Pass, grade to follow), and 'N' (Continuation) grades. Grades of Incomplete become frozen 12 months after the quarter in which they were awarded, either as 'NP' (Not Passed) if the coursework has not been successfully completed, or the final grade earned and entered. Grades of 'GNR', 'L', or 'N' also have one year to be updated; if they are not updated, they become frozen.

Prior to graduation, the Office of the University Registrar evaluates whether the GPA on a transcript with grades of Incomplete would meet University degree requirements if all 'I' grades were replaced by 'NP'.
